Sydney Tattoo Convention – Exhibitor Terms & Conditions

By making payment for your booth, you agree to the following terms and conditions set by Australian Tattoo Arts Pty Ltd, trading as Sydney Tattoo Convention ("STC," "we," "us," "our").

1. Exhibition Booking & Payment

1.1. All exhibition spaces (booths/display tables) will be allocated only upon receipt of payment. A confirmation email will be sent once payment is received.

1.2. Payments must be made in Australian Dollars (AUD) and include Goods & Services Tax (GST) where applicable.

1.3. Exhibitors can choose to:

  • Pay the invoice in full, or

  • Opt for a payment plan (requires a 20% non-refundable deposit, followed by fortnightly payments of 20% of the invoice amount). Payments are processed via Pinch Payments. Payment plan terms and conditions can be viewed here.

1.4. All payments must be received no later than six (6) weeks from the invoice date to secure the booth. If payment is not received, your space will be forfeited and reassigned to the waiting list.

2. Insurance Requirements

2.1. Public and Product Liability Insurance is mandatory for all exhibitors and must be obtained at their own expense. A valid Certificate of Insurance must be sent to info@sydneytattooconvention.com

2.2. Exhibitors without valid insurance (including international participants) must contact info@sydneytattooconvention.com for assistance in arranging coverage.

3. Cancellations & Refund Policy

3.1. Cancellation by the Exhibitor:

  • Cancellations must be submitted in writing to info@sydneytattooconvention.com.

  • If canceled six (6) weeks or more before the event, a partial refund may be granted, minus the 20% non-refundable deposit.

  • Cancellations made less than six (6) weeks before the event are non-refundable.

3.2. Cancellation by STC:

  • If the event is postponed, all exhibitor bookings will automatically transfer to the new date.

  • If the event is canceled by STC, The City of Sydney, Sydney Town Hall, or key suppliers, a full refund (including the deposit) will be issued.

  • If an exhibitor cannot attend due to government-enforced restrictions (e.g., COVID-19), STC will review refund or credit options on a case-by-case basis.

4. Compliance with Laws & Regulations

4.1. Licensing and Permits:

  • All exhibitors must comply with the Tattoo Industry Act 2012 and the Tattoo Industry Regulation 2023

4.2. Skin Penetration Compliance:

  • Exhibitors must comply with all applicable regulations regarding skin penetration activities from NSW Health and the City of Sydney.

  • STC reserves the right to inspect and verify compliance with these regulations. Any exhibitor found to be non-compliant may be removed from the event.

5. Use of Exhibition Space

5.1. Exhibitors are responsible for the setup, operation, and breakdown of their booth, ensuring no damage to the Sydney Town Hall, a venue hired from The City of Sydney.

5.2. The exhibitor must:

  • Exercise due care for the safety of persons, property, and premises.

  • Not engage in unlawful conduct.

  • Ensure that all displayed material does not infringe intellectual property rights.

5.3. STC reserves the right to terminate booth usage without refund if the exhibitor violates any of these conditions.

6. Booth Sharing & Floor Plan Adjustments

6.1. Booths may not be assigned, sublet, or shared without prior written approval from STC.

6.2. STC reserves the right to rearrange the floor plan or relocate booths if necessary.

7. Force Majeure

7.1. STC shall not be liable for any failure or delay in performance due to circumstances beyond its reasonable control, including but not limited to:

  • Natural disasters (fire, flood, earthquake)

  • Acts of war, terrorism, or civil unrest

  • Government-imposed restrictions (including public health mandates)

  • Power outages or venue-related infrastructure failures

7.2. If the event cannot proceed due to force majeure circumstances, STC reserves the right to reschedule or cancel the event, with refunds or credits issued at its sole discretion.

8. Health & Safety

8.1. Exhibitors must ensure that their booth setup is safe and secure, including:

  • No obstructing emergency exits or walkways

  • No hazardous materials or substances

  • All electrical equipment being tested and tagged according to Australian safety standards

8.2. STC reserves the right to inspect booths and request modifications if any setup is deemed unsafe.

9. Photography & Media Release

9.1. By participating in the Sydney Tattoo Convention, exhibitors grant STC permission to use any photographs, video footage, or media taken during the event for promotional purposes, without compensation.

9.2. Exhibitors who do not wish to be included in event media must notify STC in writing before the event.

10. Liability & Indemnity

10.1. Exhibitors are fully responsible for their own equipment, artwork, and personal belongings. STC is not liable for any theft, loss, or damage.

10.2. STC will not be liable for any financial loss, damages, or business disruption resulting from factors beyond its control.

10.3. By completing your booking, you acknowledge that no promises, guarantees, or warranties have been made regarding expected benefits, attendance, or sales.

11. Breach of Terms & Conditions

11.1. STC reserves the right to terminate an exhibitor’s participation without refund if they:

  • Fail to comply with event, venue, or legal requirements

  • Engage in unprofessional or disruptive behavior

  • Violate any of the conditions stated in this agreement
